How to Register

Confirmation of your registration will be sent upon receipt of your online form and fees. If you are paying by invoice that will be issued separately and the Committee would appreciate prompt payment. Please contact us directly ascilite2023@theconferencecompany.com to organise payment via invoice.
Publication of Abstracts
Registration is a prerequisite for publication of papers in the final programme.
Terms & Conditions
- Full payment for registration fees must be received prior to ASCILITE 2023.
- All prices are in New Zealand dollars and include Goods and Services Tax of 15%.
- If you did NOT tick ‘Privacy Required’ on the first page of the online registration form, it is assumed that you agree to have your details published in the list of participants.
Cancellations:
- Should you need to cancel your registration for any reason, you may reassign your registration to another person. Please notify The Conference Company via email of the replacement delegate’s name and contact details.
- If you are unable to arrange a replacement, a refund less a cancellation fee of NZ$150 will be made, providing notification is received prior to 03 November 2023. Cancellations made after that date are non-refundable.
- If, for reasons beyond the control of the Organising Committee, the Conference is cancelled, registration fees will be refunded after the deduction of expenses already incurred.
- By registering for the Conference you are confirming consent for any video and photographs taken at the Conference which you are in may be used by the Organising Committee in promotion of the Conference.

Registration and Attendance
What are the registration fees?
The fees are available to view on the registration page
Am I eligible for the member registration rate?
If you are a current financial member of ASCILITE, you are eligible to register using the member rate. If you are paying a non-member fee you automatically become a member of ASCILITE. Your contact details will be passed on to the ASCILITE Secretariat who will confirm your membership. You’ll find lots of ways to get involved in ASCILITE.
Am I eligible for the student registration rate?
These rates are subsidised to encourage attendance for students. You must be enrolled in a tertiary institution at the time of registration. Due to the reduction in price, the welcome drinks and dinner are not included but they can be purchased as an add-on to the student rate.
What is included in my registration fee?
The full registration fee includes attendance at the full Conference programme on 4—6 December 2023 as well as a ticket to the Welcome Reception and Conference Dinner. One-Day and Two-Day registration passes are also available. They do not include the social events.
Are the Doctoral Symposium and the workshops included in my registration?
The Doctoral Symposium is FREE to all doctoral students no matter if you have submitted a paper in the symposium or conference. To qualify for a free doctoral symposium you MUST be registered for the conference. If you are not a doctoral student but still wish to attend, you can purchase a ticket through the registration system.
No, the workshops are an additional cost and take place on Sunday 3 December. Each workshop is limited to approximately 50 attendees. Some institutional members may be eligible for a free workshop depending on the category of membership. Please inquire with your institution to see if you are eligible and get your discount code.
How can I reserve a hotel room and what rates are available?
We are pleased to advise we have secured a number of accommodation options available to Conference attendees. You can book accommodation at delegate rates via the registration form.
How can I register onsite?
If you are unable to register prior to the Conference, you can register onsite at the Registration Desk. Please note, payment will be required at this time via a credit card or cash (in New Zealand currency only).
I want to cancel my registration. Can I get a refund?
All cancellations must be received in writing so please email ascilite2023@theconferencecompany.com. Cancellation notice received prior to 3 November 2023 will be eligible for a refund, less a NZ$150 administration fee. Cancellations after this date are non-refundable, however, you are able to transfer your registration to another person.
I only want to attend one session, can I get a session pass?
Individuals wanting to attend one session must register for a one day pass for that day. Unregistered attendees will not be allowed access to sessions or other Conference events.
I am an overseas participant and need a letter of invitation before I can receive my visa. What is the procedure?
Upon full payment of the Conference registration fees, you request an invitation letter by emailing ascilite2023@theconferencecompany.com. Invitation letters will not be supplied to unpaid or unregistered participants, and we reserve the right to refuse to provide invitation letters for attendees. Please note that we do not give any further support or advice about the visa application process. Obtaining a visa remains the sole responsibility of the participant.
My partner would like to come, but not to the Conference sessions. Is there a partner registration?
No there is no partner registration. However, you are able to purchase additional tickets for them to attend the Welcome Reception and the Conference Dinner. Please note, that If you are a full registration these are included in the price.
Will I receive a Certificate of Attendance?
Yes, a Certificate of Attendance can be requested after the Conference and will be emailed to you.
What services are available for special needs and requests?
We encourage persons with disabilities to participate in the programme and social events. Please contact ascilite2023@theconferencecompany.com to request services or other accommodations for any special needs or note these on your registration form. If you have dietary preferences, please be sure to describe those on the space provided on the registration form when you register.
We also offer a parent room. Please let us know via the registration form if you require this.
Invited Speaker and Accepted Abstract Speakers
Is there a powerpoint template I should be using?
No, you can use your own template, however, please ensure it us formatted to a 16:9 ratio.
How do I provide my presentation aids?
One month prior to the Conference you will be sent a link to a portal for uploading your powerpoints/videos.
At the Conference there will be a Speaker Preparation Room available for you to finalise and, if you have not already done so via the portal, load your presentation. Please ensure you check in with the technicians in the Speaker Preparation Room at least 2 hours prior to your session. The location and opening times for this room will be advised closer to the time of the Conference.
